WhatsApp alert routing
The messages that matter — a new lead, a paid order, a support request — arriving in your WhatsApp the moment they happen, instead of waiting in an inbox no one is watching.
The problem
Leads go cold in the gap between happening and being seen.
A lead fills in your form at 9pm and sits unread until the next afternoon. An order comes in overnight and nobody packs it until someone opens the dashboard. A support request lands in a shared inbox and is noticed a day later, after the customer has already complained. None of this is a people problem — it is a notifications problem. The information exists; it just is not where you are looking.
You already read WhatsApp within minutes. So we send the things that need you there — to your number, not your customers'. Your customers never see these alerts; they are for you and your team.
You pay Meta directly for messages. We charge for setup and management.
There is no "WhatsApp subscription". Meta bills per delivered message on your own account; our fee covers building and running the system. The full breakdown is below.
What we connect
The systems you already run.
If it can raise an event or expose an API, it can raise a WhatsApp alert. The common ones:
- Website contact and lead forms
- Shopify and WooCommerce orders
- Stripe and Paystack payments
- HubSpot and other CRMs
- Airtable and Google Sheets
- Support tickets and shared inboxes
- Uptime and monitoring alerts
- n8n, Zapier and Make workflows
Something not listed? If it has an API or can send a webhook, it can almost certainly be connected — ask us.
How it works
Five steps, most of them ours.
- 1
We map what should reach you
A short call to list the events that matter — a new enquiry, a paid order, a failed payment, a support ticket, a site going down — and who should see each one.
- 2
We set up your WhatsApp Business Account
Created in your name, on your own dedicated number, and taken through Meta Business verification. We handle the paperwork and the template approvals.
- 3
We connect your systems
Your forms, store, CRM and tools are wired to the account through the automation layer we already build with — so an event in any of them becomes a WhatsApp message.
- 4
We test against real events
We fire real examples through every path and confirm the right message reaches the right person, formatted so you can act on it without opening anything else.
- 5
We monitor and adjust
Templates get maintained and re-approved as they change, new alert sources are added as you grow, and you get a monthly note on what it cost.
What we need from you
Three things, and a little patience.
A WhatsApp Business Account
Set up in your name. We create and configure it; you own it.
Meta Business verification
Meta verifies the business with company documents — registration details and proof of the business, submitted through Meta Business Manager. We prepare and guide this; the review is Meta's.
A dedicated phone number
A number not already tied to a personal WhatsApp account, used only for the business account. We advise on choosing one.
Verification takes time — plan for it.
Meta's business verification is not instant and can take anywhere from a few days to a couple of weeks, sometimes with a request for more documents. It is the single most common source of onboarding frustration, and it is entirely on Meta's side. We start it early and keep it moving, but we cannot make Meta review faster — so we set the expectation up front rather than after you have started.
How we set it up
Your own account, never a shared one.
Every client gets their own WhatsApp Business Account, on their own number, which they own and we manage. We never put multiple clients on one shared number.
This matters because WhatsApp's quality rating — which affects how reliably your messages are delivered — is tracked per number. On a shared number, one business's problems would drag down everyone else's delivery. On your own number, your rating is yours alone. It also means that if you ever leave us, your number, templates and history go with you, because the account was always yours.
Being straight about cost
What changes on 1 October 2026.
Meta is changing how some WhatsApp messages are priced. From 1 October 2026, free-form service messages sent inside the 24-hour window after a customer writes to you become billable, charged per message by the recipient's country. Meta is adding a free allowance of 1,000 service messages per business number each month; charging starts after that.
From 1 October 2026
How we design around it.
Alerts to your own number are low in volume and go to one or two recipients, so for most setups they sit comfortably inside the free allowance. Where they do not, we build them as utility templates, which are categorised and priced accordingly rather than as ad-hoc service messages, and we report the cost monthly so there are no surprises. We design the routing around the pricing, not against it.

Pricing
What you pay, and who you pay.
We charge for implementation and management only. Every platform cost is billed to you directly, on your own Meta and WhatsApp Business accounts, under your own payment method. You see exactly what Meta charges, with no markup hidden in a retainer — and if you ever leave us, those accounts, your number and your data go with you.
What we charge
One-off implementation fee
Account setup, verification support, connecting your systems, creating and submitting message templates, testing, and handover.
Monthly management retainer
Monitoring, template maintenance and re-approval, adding new alert sources, and cost reporting so your platform bill stays predictable.

What you pay Meta directly
Messaging fees
Meta bills per delivered message, priced by your customer's country and the message category, with volume tiers on some categories. It is not a flat fee and not a subscription. Rates vary by more than tenfold between markets, so no honest fixed bundle exists — which is why this is passed straight through.See Meta's current rates.
Why this way: messaging costs depend on where your customers are, so no honest fixed bundle exists. You keep ownership and you see the real numbers.
Pass-through does not mean you are on your own with the bill.
Estimating and controlling your messaging cost is part of what the retainer buys: getting templates into the right category, using the free entry-point windows, watching volume tiers, and reporting what you spent against what it did.
Stop finding out late.
